Terms & Conditions

01) Deposit Required: Generally, advance payments are obligatory for fixing prior arrangements for clients, such as their hotel reservation, flight arrangements, transportation tickets, permits, TIMS card, holding field staff, etc., which are needed and required for their travel. The unpaid remainder amount for hiking, trekking, or expeditions can be settled upon arrival in Nepal.

02) Payment Methods: After the confirmed booking of the trip, the next step is to make the payments specified by the company in the brochure. Fund transfer for the booking of trips is   accessible whether you make it through bank transfer, card authentication, or a 3D secure credit card (Visa, Master Card, American Express Card, or Bank transfer). You are recommended to only fill out your detailed information after carefully checking it while transferring from any payment method. 

If a client is willing to  join the trip, he or she must pay a booking deposit of 15% of the total cost of the  trip. The remaining balance must be paid by the client 30 days before the commencement of the trip by bank transfer, or Client must pay the remaining  amount Before trip starts by Cash after arriving in Nepal.

03) Last-minute Booking: For those clients who could not book in advance but are eager to participate in the trek within a short period of time, the company accepts your last-minute booking with 100% trip payment. 

04) Cancellation Policy

  • If some rare cases arise due to unforeseen and unavoidable circumstances beyond the scope of management and client’s control, then trips can be delayed and rescheduled according to your availability. If condition requires cancellation of the trip, then advance payments are reimbursed under following conditions:
  • If the contributing factors that caused the cancellation of trips are religious, cultural, economic, political, social, etc., in such circumstances local governments may not allow for participation in specific trips.
  • Any trip cancellation made by a client has to be compulsorily divulged in a written email and should be acknowledged by the company; the cancellation date should be mandatorily mentioned.
  • Please note that no refund will be made to those clients who drop out of the journey or trip midway, regardless of the reason, after the trip has started.
  • If the trip has been cancelled by the client due to his/her personal reasons:

         a) If it has been paid full amount of the Trip:

60 days or more 85% Refund
45-60 days 60% Refund
30-45 days 40% Refund 
Less than 30 days No Refund

     

     b) If it has been paid only advance payment for the booking of the Trip:

90 days or more 100% Refund
Less Than 60 Days No Refund

  • If the trip has been canceled by the company due to disaster, religious, cultural, economic, political, social, etc:

         If it has been paid  full amount of the Trip:

30 days or more 100% Refund
15-30 days 80% Refund
7-14 days 60% Refund
Less than 7 days 50% Refund
  • Due to their hotel reservation, flight arrangements, transportation tickets, permits, TIMS card, holding field staff,  etc. The company will not refund the booking deposit amount, which is 15% of the full amount.

Note:  A refund fee (charged by the bank) will be deducted from your refund amount.

05) Minimum Group Size: If the minimum group is not reached, Climbing Himalaya will have the right to run the group by adding cost or to cancel it.

06) Trip Cancellation by Company:

  1. The company reserves all rights with regard to cancelling scheduled trips, due to most commonly unforeseeable, unplanned, and unforeseen accidents. Due to the fact that the third parties would already have been fully compensated, the company only offers a 50% refund before the trip actually starts due to natural disasters, flight cancellations, strike-related issues, disease outbreaks, etc. The business should not be held responsible for any unavoidable costs, losses, or outcomes, such as non-refundable airfare, visa issues, flight tickets, lost wages, etc.
  2. On the Camping Trek, If there is a booking of less than 4 pax the company will not run the trip on the same date and at the same price Or if client wants to continue the trip on the same date, in that case the company will charge the percentage (%) on the full amount of the trip. Check the percentage below:
  • if there is 3 pax only, 10% will be extra charge each 
  •  if there is 2 pax only,2 pax, 15% will be extra charge each 
  •  if there is 1 pax only,1 pax, 25%

     After that, the company will run the trip in an alpinist way, which means without luxurious facilities in camping Trek. 

07)  Trip Amendment:

  1. A trip amendment is a situation that occurs due to undesirable and unavoidable circumstances, which in turn cause the trip itinerary to be changed during the journey. If there are additional days during the trip because of an itinerary change or location change,  cost is also covered by the client.
  2. If the client has any desire to amend the itinerary for personal reasons, they are required to submit an email to the company stating their plan, and the company may decide to make the necessary amendments. 

      The fees to make the necessary amendments to the trip are:

  • 60 days prior to departure date, Free Date Change,
  • 30-60 days prior to departure date, 10%  per person  in total cost ,
  • Less than 30 days before the departure date the same as cancellation fees for primary suppliers are paid in advance.

08) Medical Conditions and Special Requirements: Factual medical condition information regarding the client’s health should be provided to the company that clearly states their mental and physical conditions, which may affect the client’s health during the trip. In cases of pregnancy, dietary restrictions, or such, the client is advised to book their trip accordingly.
The company is not entitled to provide any special facilities unless it has agreed with the client and company.

09) Travel Insurance: Trips In remote areas or parts of Himalayan countries may carry an inherent risk as a result of bad weather, landslides, floods, etc., which are beyond one’s control and can cause serious injury or death. Travel insurance is required for all trips. In the Himalayas, and an insurance policy covering accidents, death-related expenses, injuries, illness, medical expenses (including evacuation charges), emergencies, repatriation (including helicopter rescue and air ambulance), and personal liability. The insurance papers must be carried at all times for proof. Participants should provide proof of insurance before commencing the Trek in Nepal.

10) Flight Delays and Changing Itinerary: In the Himalaya of Nepal due to the unpredictable weather conditions, if the flights are delayed during departure or return, all the additional expenses must be covered by the client themselves. Alternate arrangements, such as helicopter flights to avoid delays, would be the client’s responsibility. Additionally, the company does not bear any responsibility for costs incurred as a result of a missed international flight but would assist in making alternative arrangements wherever possible.

  • Domestic flight cancellations: Any flight cancellation will not require payment from the firm unless it is initiated by the company. However, if a flight is cancelled, it is the agency’s responsibility to make overnight arrangements for the visitors.
  • Accommodations and Meals: The client will be responsible for covering the cost of the overnight stay and meals in the event that an overnight stay is necessary as a result of issues with or caused by the client or as a result of a domestic or international flight being cancelled. However, the agency will be responsible for paying the fee if the stay was necessary for that agency’s reasons.

11) Paper and Documentation: All necessary documents should be carried by the clients and shown when requested by the company. Scanned documents are to be sent for several purposes, such as flight or accommodation reservations during booking. The company is not responsible for any variability that occurred due to a lack of essential documents.

12) Visa and Passport: The client must carry a valid passport and an appropriate visa when travelling with the company for legal purposes. Passports should be valid for six months beyond the duration of the trip. The company will not be responsible for refusals of entry due to a lack of proper visa documentation. For most countries, a Nepal Visa is available on arrival in Nepal. For Tibet and Bhutan, the company can make the necessary arrangements upon the client’s request. For India, clients will have to acquire a visa from their own country.

13) Injuries and Evacuation: For injuries, accidents, health or mental conditions, or other conditions suffered by the client during the journey, the company would not be responsible in any form or sort. The packages provided by the company do not include any type of insurance. So the clients themselves are responsible for adequate insurance packages, including emergencies and evacuation by helicopter rescue.

14) Services missed and Unused: No money or discounts shall be refunded if services are missed or unused; this includes late arrival on the tour, premature departure, voluntary or involuntary departure or termination during the trip, i.e sickness or death of a family member, etc.

15) Health & Fitness: Trekking and climbing requires physical fitness. So it is important that clients must have good health and have a reasonable level of fitness. So all the clients must have a doctor consult before the trekking activity in Nepal. The company should be provided with all the pieces of information regarding the client’s physical health condition or any disability that might require medical attention.

16) Children: All travellers under the age of sixteen must have a legal guardian accompany them at all times.

17) Discount Provision: During special occasions such as holidays or off-seasons, the company offers special discount rates only for special products that are limited to a specific time period. These offers are only for those clients or travelers who have made the booking within the specified time period. Discounts for groups (4 or more members), school or college groups, or business-to-business are provided accordingly.
18) Holiday Changes: Due to the inconsistent and changeful nature of the weather and different occurrences such as delayed flights, cancellations, or postponement changes, unforeseen circumstances such as floods, snow, political crises, unfavourable weather, etc. may cause changes to the itinerary. The company is not liable for loss of employment, delays, compensation, or refunds as a result of prior arrangements made with the suppliers. The company will try its best to provide same-category alternatives or substitutes instead of funds. 

 19) Charges:  Any extra expenses made outside of the contract or itinerary should be paid by the guests. If the trip exceeds the duration set In the trip packages, the expenses for it must be covered by the clients. If the company has to pay compensation, the compensation amount will not be more than the amount the client has paid to the company.     

20) Personal belonging : Before and after trekking all baggage and personal belongings are at your own risk.  Your safety and enjoyment is our first priority, so during Trekking our team will provide you hassle free and safety you and your belongings during trekking. Company will not be liable or responsible for any loss, damage, or accident to any luggage or property. You are advised to check the limitations of your insurance policy in this aspect. 

21) Publicity: The photos or images taken by clients during their trip might be used by the company without any prior notice, recourse, or compensation. These images might be used for publicity and promotion purposes for the company. The client agrees to grant this permission to the company. However, if explicitly requested by the client not to use their images for publicity or promotion, the company will abide by their request.

22) Privacy: To obtain essential information from clients during the booking process, the company asks several personal or private questions. No private or personal information that you supply to us when making a booking will be indulged in or spread for any other purposes.

23) Environment Responsibility: All the clients  must respect the local environment and wildlife, follow designated trails and avoid littering or damaging  natural resources. They should adhere to any conservation regulations which are set by local authorities.

 

24) Updating of Terms and Conditions: The company reserves the right to update and amend these terms and conditions at any time. It is the responsibility of the client to keep updated on any such changes.

Do:

  • Acclimatize yourself properly to prevent altitude sickness.
  • Drink enough water and stay hydrated.
  • Hire an experienced, licensed holder of a trekking or climbing guide or porter.
  • Carry your personal First- Aid -Kit
  •  Carry appropriate gear and clothes
  • Wear comfortable clothes during trekking 
  • Walking in Pace
  • Follow the guidelines of the Guide
  • Follow the designated trekking routes.
  • Respect the local culture and traditions.
  • Respect people living in the himalayan region.
  • Pack light and carry only essential items.
  • Take your waste back
  • Take regular breaks.
  • Enjoy the breathtaking landscapes and  beauty of the Himalayas.

 

Don’t:

  •  Do not underestimate the difficulty of the trek.
  •  Do not wander off on your own without informing your guide 
  •  Do not disrespect the local customs and traditions.
  •  Do not harm wildlife. 
  •  Do not ignore the advice and recommendations of your guide or local authorities.
  •  Do not forget to pack essential items.
  •  Do not ignore any signs or symptoms of altitude sickness.
  •  Do not leave behind any litter or trash on the trail.
  •  Do not Fight with locals and fellow participants. 
  •  Do not rush through during the  trek.
  • Do not ignore the rules and regulations set by the local authorities and national park authorities.
